Northpoint Photos works within early learning centres, kindergartens and education and care settings across Queensland.

When we enter these environments, we recognise that we are working within a child-safe setting and that children's safety, dignity, privacy and wellbeing must remain at the centre of everything we do.

Our approach is designed to support children, families, educators and early learning services with clear expectations around consent, photography and the handling of children's images.

Our photographers work alongside educators and follow clear child-safety requirements.

Who supervises children during photography?

The education and care service remains responsible for the supervision and care of children throughout the photography session.

Northpoint photographers do not replace educators or assume responsibility for general child supervision.

We work collaboratively with educators and follow the service's site-specific child safety requirements.

What requirements do Northpoint photographers follow?

Photographers working on behalf of Northpoint Photos are required to:

  • Hold the appropriate current Blue Card or relevant working-with-children clearance.
  • Complete Northpoint Photos' child-safe photography procedures and training.
  • Follow Northpoint Photos' Child Safe Photography Standards.
  • Follow the policies and requirements of the education and care service they are attending.
  • Respect children's physical and emotional boundaries.
  • Never photograph a child without verified consent.
  • Maintain professional conduct at all times.
What if my child doesn't want their photo taken?

We respect children's responses.

A parent's consent allows photography to take place, but it does not mean a child's discomfort should be ignored.

Our photographers are trained to observe children's comfort, behaviour and cues throughout the photography process.

If a child becomes uncomfortable or does not want to participate, our photographers will respond appropriately and work with educators to determine the best approach.

A photograph is never more important than a child's wellbeing.

Sometimes a child simply needs more time, reassurance or a different approach. Sometimes the right decision is not to photograph them.

How do photographers interact with children?

Photographing young children requires more than simply operating a camera.

Our photographers may use age-appropriate conversation, encouragement, humour, games and direction to help children feel comfortable in front of the camera.

All interaction must remain appropriate, professional and child-focused.

Photographers must respect a child's personal space and boundaries and must never use inappropriate, intimidating or coercive behaviour to obtain a photograph.

Where physical assistance or contact may be required in a particular photographic situation, it must be appropriate, necessary, brief and consistent with the service's requirements and Northpoint Photos' child-safe photography procedures.

How We Protect Your Child's Images

Children's photographs are treated as sensitive personal information and protected throughout our photography and ordering process.

Northpoint Photos uses secure systems and controlled access throughout the photography, editing, ordering and delivery process.

Who can access my child's photographs?

Access to children's photographic images is restricted to authorised people who require access to perform their role.

This may include appropriately authorised Northpoint Photos personnel and carefully selected service providers involved in secure hosting, production, printing, fulfilment or delivery.

Parents and guardians may choose to share their gallery access with family members at their own discretion.

How are my child's images stored?

Children's images and associated personal information are stored using professionally managed systems with appropriate security controls.

Our security measures include:

  • Secure online systems.
  • Controlled staff access.
  • Password-protected galleries.
  • Secure transfer of files.
  • Restricted access to photographic data.
  • Secure payment systems for online purchases.
How long do you keep my child's photographs?

Northpoint Photos maintains secure archival records of completed photography work.

We do not automatically delete all photographs after a short, fixed period because families may require access to historical photographs long after their original photography session.

Our archival approach allows us to assist families with matters such as replacement orders, historical requests, family records and circumstances where an older photograph may have particular personal or family significance.

Archived images remain subject to our security and access controls.

Can I ask for my child's photographs to be deleted?

Yes. Parents and legal guardians may request deletion of their child's photographic images from Northpoint Photos' systems.

Requests may be subject to verification to ensure that the person making the request has appropriate authority.

Northpoint Photos will take reasonable steps to action a valid deletion request across relevant active systems and archives.

Some information may need to be retained where required by law, for legitimate business or financial record-keeping purposes, or where deletion from a particular backup system cannot occur immediately.

Do other companies ever handle my child's images?

Northpoint Photos may use carefully selected third-party providers where required for services such as secure hosting, professional printing, product production or order fulfilment.

We take reasonable steps to ensure that relevant providers have appropriate privacy and security practices in place.

What happens to photographs on photographers' equipment?

Northpoint Photos maintains procedures for the secure transfer, handling and removal of photographic files from working equipment.

Photographers are required to follow Northpoint Photos' procedures for the secure handling of photographic files and must not retain children's images for personal use.

Image Use & Communications

Photography consent does not automatically give Northpoint Photos permission to use your child's image for advertising or promotional purposes.

Your child's photographs are not automatically marketing material.

Permission for Northpoint Photos to photograph your child as part of their early learning photography session does not automatically give us permission to use their identifiable image for advertising, social media, website content or promotional purposes.

Where Northpoint Photos wishes to use an identifiable image of a child for promotional purposes, separate permission will be obtained where required.

Will my child's photographs be used on social media or advertising?

Not simply because you have consented to photography.

Photography consent allows Northpoint Photos to photograph your child as part of the photography service. It does not automatically provide permission for advertising, social media, website content or other promotional use.

Where separate permission is required for promotional use, Northpoint Photos will seek that permission separately.

Is marketing permission separate from photography consent?

Yes.

Consent for your child to participate in their photography session is separate from permission to use their image for marketing or promotional purposes.

Choosing to purchase photographs, accessing an online gallery or providing photography consent does not automatically provide marketing permission.

Can I withdraw permission for promotional use?

Yes. If you have previously provided permission for promotional use of your child's image and subsequently change your mind, please contact Northpoint Photos.

We will take reasonable steps to stop future promotional use of the image by Northpoint Photos.

Can I opt out of marketing communications?

Yes. Parents and guardians may opt out of promotional or marketing communications.

You may still receive operational communications required to provide your photography service. These may include:

  • Gallery access information.
  • Order confirmations.
  • Delivery or dispatch updates.
  • Important information relating to your photography session.

These service communications are separate from promotional or marketing messages.

Our Child-Safety Commitment

Children's safety always comes first.

Northpoint Photos is committed to maintaining child-safe photography practices across every stage of our service.

Our practices are informed by the requirements of the Australian early childhood sector, including the National Quality Framework, relevant privacy obligations and the National Model Code for Taking Images or Videos of Children.

Northpoint Photos also works in accordance with our Child Safe Photography Standards and associated procedures.

Our child safety and photography policies are reviewed regularly and updated as required to reflect changes in legislation, regulatory requirements, sector guidance and continuous improvement.
